Overview

To assist the COO and members of the Executive Leadership Team with daily administrative operations.

Responsibilities
    Management of daily office functions to ensure efficiency of operation
  • Maintenance of the COO's schedule
  • Manage highly confidential information; manage calendar, and other applicable administrative duties
  • Coordination of domestic and international travel
  • Assist with coordination and execution of various Executive Leadership Team events throughout the year in Miami, Erlanger and NY as needed
  • Response to incoming domestic and international calls
  • Response to informational inquiries
  • Resolution of administrative issues
  • Creation of correspondence as required
  • Process and submit expense reports for COO
  • Tactfully interacts and works with executives - both domestic and overseas; employees at all levels; and various public, governmental and professional entities as required.
  • Confidently interface with high-level visitors, investors and media
  • Handle multiple tasks and perform well in a fast-paced environment
  • Oversee project-based assignments
  • Other projects / duties as assigned by the Manager, Executive Administration as related to the expansion of the Executive Administration Team
Qualifications
  • 5-7 years experience at executive assistant level
  • Bachelor's degree in related field or equivalent experience
  • Proficient in Excel, PowerPoint, Word, Outlook and all MS-Office Programs
  • Ability to interact with all levels of management
  • Strong communications skills, both verbal and written, and excellent organizational skills
  • Must be extremely detail-oriented with strong follow-up skills
  • Flexibility to work extended hours
  • Must be highly tactful and influential when working with various constituencies
  • High degree of maturity and judgment when dealing with confidential information
  • Flexible in changing work priorities and able to work under pressure
  • Highly proficient in computer & business systems

Salary Range: $59,000 - $79,500

Financial offer within the stated range will be based on multiple factors to include but not limited to location, relevant experience/level and skillset.
